Terms and Conditions

Welcome to Coach Hire Express LLC ("we," "us," "our"). By accessing or using our services, you agree to comply with and be bound by the following terms and conditions. Please read them carefully.

1. Definitions

In these terms and conditions:

• "Company" refers to Coach Hire Express LLC.
• "Hirer" refers to the individual or organization making the booking.
• "Driver" refers to the driver of the hired vehicle.
• "Vehicle" refers to the coach or minibus provided for hire.

2. Booking and Confirmation

All bookings are subject to availability and are confirmed only upon receipt of a booking confirmation from the Company. The Hirer must check the booking confirmation for accuracy and inform the Company immediately of any discrepancies.

3. Payment Terms

• A non-refundable deposit of 25% of the total hire cost is required at the time of booking.
• The remaining balance must be paid in full no later than 14 days prior to the date of hire.
• For bookings made within 14 days of the hire date, full payment is required at the time of booking.
• Failure to adhere to these payment terms may result in cancellation of the booking and forfeiture of any payments made.

4. Cancellation by the Hirer

If the Hirer wishes to cancel the booking, the following charges will apply:

• More than 14 days before the hire date: Loss of deposit.
• 7-14 days before the hire date: 50% of the total hire cost.
• Less than 7 days before the hire date: 100% of the total hire cost.

5. Cancellation by the Company

The Company reserves the right to cancel the booking in the event of unforeseen circumstances beyond its control, including but not limited to vehicle breakdown, driver illness, or adverse weather conditions. In such cases, the Company's liability is limited to a full refund of all monies paid by the Hirer.

6. Vehicle Availability and Substitution

The Company will endeavor to provide the vehicle specified at the time of booking. However, it reserves the right to substitute a vehicle of similar or higher capacity and standard if necessary, at no additional cost to the Hirer.

7. Use of the Vehicle

• The vehicle is hired strictly for the itinerary agreed upon at the time of booking. Any deviations may incur additional charges.
• The Hirer must not load the vehicle beyond its legal seating capacity.
• Smoking, including electronic cigarettes, is strictly prohibited on all vehicles.
• Consumption of alcohol is prohibited unless prior written consent has been obtained from the Company.

8. Passenger Conduct

The Hirer is responsible for the behavior of all passengers. The Company reserves the right to terminate the hire without refund if passenger conduct compromises safety or breaches these terms.

9. Delays and Liability

The Company is not liable for delays caused by circumstances beyond its control, such as traffic congestion, road closures, or adverse weather conditions. The Company will not be responsible for any consequential losses arising from such delays.

10. Damage to Vehicle

The Hirer is responsible for any damage caused to the vehicle by passengers during the hire period. The Company reserves the right to charge the Hirer for the cost of repairs or cleaning.

11. Luggage and Personal Items

All luggage and personal items are carried at the owner's risk. The Company accepts no liability for loss or damage to personal belongings.

12. Insurance

The Company's vehicles are fully insured for passenger and third-party claims. However, this does not cover loss or damage to personal property.

13. Complaints

Any complaints should be made in writing to the Company within 14 days of the hire date. The Company will endeavor to resolve all complaints promptly and fairly.

14. Governing Law

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Amendments

The Company reserves the right to amend these terms and conditions at any time. Any such amendments will be communicated to the Hirer in writing.

16. Entire Agreement

These terms and conditions constitute the entire agreement between the Hirer and the Company. Any other agreements, verbal or written, are superseded by these terms and conditions unless expressly agreed upon in writing by the Company.
